Question Ideas for Venues:

Asking the right questions when you are checking out a venue can help you pick out the perfect one. Plus you get an accurate idea of what will be included and actual cost. Here are some question suggestions to help you find the best spot for you!

Does the venue has a catering license?

Is alcohol permitted? What kind of liquor license do you have? Can we bring our own…and if so, what is the fee associated with bringing in outside food or beverage?

Is there an additional charge for the caterer’s setup fees or staff gratuity?

Will the decorum of the space interfere with what I want to do (provide my own liquor, etc.)?

Does it provide tables, chairs, tablecloths and napkins…or will that be up to us?

How many tables does it seat?

Are they round or long banquet style tables…and are they all together at one large table separated by centerpieces or individual dining tables off to one side?

How many bathrooms does it have and are they handicapped accessible?

If we have a band or DJ, can they set up in that room as well?

For out-of-town brides and grooms, is there somewhere around town where we can stay for the night after our dinner so we don’t have to drive home?

What kind of liquor license do you have? Can we provide our own…and what would the corking fee be to use your license?

Are there any additional charges for the bartender’s gratuity – and if so – how much is it per hour and how much will we need to budget for this transaction?

Is there an extra charge for set-up fees and staff gratuity (yes) – and if so – what is it and how much will we need to budget for this transaction (set-up fee $200; 1% of gross over $10k, staff gratuity 15-20%)?

If we have our own caterer, are their fees added to our contract or paid directly to them?

What is the refund policy should I cancel my event if it’s less than 90 days out?

How far in advance do you require a contract be signed and how much is the deposit required for this transaction?

Is there an additional charge for bringing in outside food or beverage (yes, $500)…and what other restrictions might apply with regard to outside food or drink. If so, what are they?

Will parking be available onsite during my event…and if not, where will guests park and how much will the fee be?

If parking/valet is provided by your venue – who is responsible for managing this transaction?

Are there any other fees you can think of that would be helpful to know about in regards to planning a rehearsal dinner at your facility?

Would you be able to provide a list of recommended caterers and/or florists based on criteria I provide?

What are your set-up charges, if any…and what gratuity charges might apply if using your catering staff or bar service?

If we use your catering staff or bar service – how many hours must we purchase and what is the ratio between bartenders guests. Also, will there be a host/hostess fee and if so – how much is that per hour and what’s included in that transaction?

If we provide our own bar or caterer – will you be willing to coordinate this for us…and what would the fee be to do so?

If we use your catering staff, is there an additional charge for service gratuity…and if so – how much is it per hour and what’s the highest amount of gratuity we can leave on one transaction?
